Price Options (Managing Price Segments) - Genius CE & Enterprise

Note: Price Segments and Segments are available on request. Contact your Customer Success representative to have them turned on for your organization.

Overview

Price Options let you set different prices for the same section. Each price is a Price Segment, for example "Member" at $75 or "Senior" at $60.

You can limit a Price Segment to a Segment, a saved group of learners such as everyone aged 55 or older. Learners see only the prices they qualify for. If they qualify for more than one, they choose one.

Segments and Price Segments: What's the difference?

Term

What it is

Where you manage it

Segment

A reusable group of learners defined by one rule, for example Age 55 or older, or member of an affiliation.

Administration → System Setup → Segments

Price Segment

One price on one section: a name and an amount, optionally limited to a Segment.

Sections → select a section → Price Options → Pricing Segments tab

You build a Segment once and use it on as many sections as you like. To create Segments, see Segments - Genius CE & Enterprise.

When To Use Price Segments

Use price segments when you need to offer different prices for the same section, such as:

  • Member vs. non-member pricing

  • Discounted rates (e.g., Seniors, Early Bird)

  • Special pricing for specific groups

  • Prices only one group can choose, such as an alumni rate

How Price Options Work

  • The section's Base Price applies only when the section has no Price Segments.

  • Once a section has an active Price Segment, the Base Price is locked and isn't used.

  • Learners see only the Price Segments they qualify for.

  • A Price Segment with Segment set to None is available to all learners.

  • If a learner qualifies for more than one price, they choose one. Prices are not combined.

  • If a learner qualifies for none of the prices, they can't buy the section.

In short:

Term

Meaning

Base Price

The price only when a section has no Price Segments

Price Segments

The prices learners choose from. Each can be limited to one Segment.

Each learner sees only their eligible prices and picks one

Staff enrollment

Segments aren't applied. See Staff enrollment and Price Options below.

⚠ Warning: Once a section has Price Segments, the Base Price is no longer offered to learners. If you want a price everyone can choose, add a Price Segment and set Segment to None.

Adding Price Segments to a Section

Navigation: Sections → select a section → Price Options → Pricing Segments tab

Price Options can't be added while creating a section. Save the section first.

  1. Click Add Price Segment.

  2. For each row, choose Segment and search for the Segment, or choose None.

  3. Enter a Name and an Amount.

  4. To add another price, click + Add Price Segment.

  5. Click Save.

After you save, the tab lists each Price Segment. Type shows Segment or None.

⚠ Warning: If no Price Segment on the section is set to None, a learner who matches none of the Segments can't buy the section. The tab shows "This Section has no base price and cannot be purchased by anyone outside of the segments below." This message also appears when the section has a Base Price, because the Base Price isn't used.

Manage a Price Segment

  1. Click Manage next to the Price Segment.

  2. Update the Segment, Price Segment Name or Amount.

  3. Click Save.

Note: Changes apply going forward. Learners who already enrolled keep the price they paid.

Delete a Price Segment

  1. Click Manage next to the Price Segment.

  2. Click Delete.

  3. Click Yes, Delete.

⚠ Warning: Deleting a Price Segment is permanent, and you can't reuse its name on that section. If you try, Genius shows "Failed to add price segments".

The Base Price Once Price Segments Exist

Navigation: Sections → select a section → Edit → Price Options

The Price Options group on the section's edit page shows the Base Price and the active Price Segments. To add or change Price Segments, click Manage Price Options.

Once a section has an active Price Segment:

  • The group summary reads "Base Price not in use", followed by the number of active Price Segments.

  • The Base Price field is greyed out and reads "Price Segments are set for this Section, so the base price is not used."

Example image of the Base Price locked once Price Segments are set.

Image 4: The Base Price is locked once Price Segments are set.

The Base Price is kept, not erased. If Price Segments is turned off for your organization, the Base Price is used again.

⚠ Warning: Staff enrollments still charge the Base Price. See Staff enrollment and Price Options below.

Copying Price Options from Another Section

Instead of rebuilding prices on every section, copy them. Copy From Another Section appears only while the section has no Price Segments.

  1. Open the section's Price Options page.

  2. Click Copy From Another Section.

  3. Choose the Course, then the Section to copy from.

  4. Review the list under "These Price Options will be copied:".

  5. Click Copy Price Options.

Copied prices keep their Segment. They use the same Segment, which is not duplicated, so editing that Segment later affects every price that uses it.

What Learners See

  • In the catalog, the course shows the range of prices the learner qualifies for, for example "$60.00 - $100.00".

  • Under Enrollment Options, each section lists only the Price Segments the learner qualifies for, as "Name: $amount".

  • If the learner qualifies for more than one price, they select one, then click Add to Cart.

  • The cart shows the amount the learner chose.

When you add price segments, learners will see multiple price options during checkout and choose the one that applies to them.

When a Learner Qualifies for No Price

If no Price Segment on a section is set to None and the learner matches none of its Segments, the section shows "This section isn't available to you." and a disabled Not Available button.

Staff Enrollment and Price Options

⚠ Warning: Segments aren't applied when staff enroll a learner. This is a known limitation. It applies to Enroll in Section, Bulk Actions, Bulk Force Enroll, CSV enrollment import, Nominate and enrollments made through the public Application Programming Interface.

When staff enroll a learner in a section that has Price Segments:

  • If the section has a Base Price, the learner is charged the Base Price, not the Price Segment amount.

  • If the Base Price is blank, no charge is created.

Whether staff enrollments create a charge at all is set by the SHOULD_CHARGE_ENROLLMENT_BY_BACKOFFICE parameter. See Parameters - Genius CE & Enterprise.

Correct the Charge on the Learner's Ledger

Navigation: Learners → select the learner → Ledger

  1. Find the row "Enrollment fee for" followed by the section name.

  2. Click the row's actions menu (⋮) and select Make Adjustment.

  3. In Updated Amount, enter the correct Price Segment amount. Check the total.

  4. Click Submit Adjustment.

Image 9: The staff enrollment charged the $100.00 Base Price. Open the row's actions menu.

Image of adjustment fields, such as updating the original amount of the enrollment fee

Image 10: Change the Updated Amount to the Price Segment amount.

The ledger keeps the original charge and adds two rows: a reversal of the original amount, and an adjustment for the corrected amount.

Image of ledger updated to show a reversed $100 charge and a new $60 charge

Image 11: After the adjustment, the $100.00 charge is reversed and a $60.00 charge is added.

Note: If the section has no Base Price, the staff enrollment creates no charge, so there is no row to adjust.

Troubleshooting

Issue

Possible cause

Resolution

A learner sees "This section isn't available to you."

No Price Segment on the section is set to None, and the learner matches none of its Segments.

Add a Price Segment set to None, or check the learner's details against the Segment's rule.

A learner doesn't see a price you expected

The learner doesn't match that Price Segment's Segment.

Open the Segment and check its rule against the learner's details, such as their affiliation or the custom field the rule uses.

A staff-enrolled learner was charged the wrong amount

Segments aren't applied to staff enrollments.

Adjust the charge on the learner's ledger.

The Base Price field is greyed out

The section has an active Price Segment.

Change prices on the Price Options page instead.

Copy From Another Section is missing

The section already has Price Segments.

Add or edit Price Segments on the section directly.

"Failed to add price segments"

The name is already used, or was used by a deleted Price Segment on this section.

Use a different name.

Best Practices

  • Save the section first. Price Options can't be added while creating a section.

  • Build each Segment once. Reuse it across sections, and use Copy From Another Section instead of rebuilding prices.

  • Leave one price available to everyone. Unless you mean to restrict the section, add a Price Segment set to None. Once a section has Price Segments, the Base Price doesn't do this.

  • Confirm prices before learners enroll. Price changes apply only to new enrollments.

  • Use clear names. Learners see the Price Segment name next to the amount, for example "Member" or "Senior".

  • Check charges after staff enrollments. Segments aren't applied when staff enroll a learner. Adjust the ledger if needed.
