Data Export Best Practices - Genius CE & Enterprise

Overview

This guide outlines best practices for exporting data out of Genius, whether you need a one-time extract, a recurring data feed, or a batch of learner documents. Genius offers several export paths, and the right one depends on what you are exporting, how often you need it, and where the data is going.

Throughout any export, the guiding principle is the same: confirm the scope of the data, choose the export method that matches your use case, run it, and then validate the output before you rely on it.

Export Methods at a Glance

Method

Best for

Output

Reports export to CSV

Ad hoc and recurring data pulls across any data Genius tracks

API export

Automated, repeatable, system-to-system data feeds

API response (JSON)

Bulk certificate export by section

Exporting completion certificates for a whole section at once

Note: When exporting to CSV, save files as UTF-8 and keep an identifying key column so records can be matched back to Genius later.

Export Methods

Reports Export to CSV

Genius reporting is built on both prebuilt report templates and a custom report builder, so you can export nearly any data the system tracks, including enrollments, completions, grades, and learner records.

  • Open a prebuilt report or build a custom report, then confirm the columns, filters, and date range before running it.

  • Export the results to CSV once the report returns the records you expect.

  • For anything you run more than once, save the report so the same configuration can be rerun rather than rebuilt each time.

  • Tip: keep an identifying key in the output (such as username, section index, or LMSID) so the exported records can be matched back to Genius.

API Export

Use the Genius API when you need automated, repeatable extracts rather than manual downloads. This is the right choice for system-to-system feeds into a data warehouse, BI tool, HR system, or downstream reporting.

  • Authenticate with your API credentials and request only the fields and records you need.

  • Page through large result sets rather than pulling everything in a single call.

  • Coordinate with your Genius contact on the endpoints available for your data and on any rate limits that apply.

  • Tip: Document the queries you rely on so recurring feeds stay consistent and are easy to troubleshoot.

Bulk Certificate Export by Section

Rather than downloading certificates one learner at a time, Genius lets you export completion certificates for an entire section in a single action. This is useful for archiving proof of completion, meeting compliance requirements, or distributing certificates in a batch.

  • Select the section, then export certificates for its completed enrollments.

  • Confirm completion status is accurate for the section first, since certificates reflect records at the moment of export.

  • Store the exported files securely, as they identify individual learners.

Bulk Transcript Export

Genius can generate learner transcripts in bulk for a group of learners at once. This is helpful for records requests, audits, and end-of-term or program-completion documentation.

  • Confirm the transcript scope, including which enrollments and external courses should be included, before running the export.

  • Verify that grades and completions are final so the transcripts reflect accurate records.

  • Handle the exported transcripts as sensitive learner records once downloaded.

Export Best Practices

  • Confirm scope first. Check filters, date ranges, and section or affiliation selection before running any export, so you capture the records you expect and nothing you do not.

  • Preserve keys. Keep an identifying field such as username, LMSID, or section index in data exports so the output can be matched back to Genius records.

  • Save as UTF-8. When exporting to CSV, save as UTF-8 to preserve special characters in names and other fields.

  • Test a small export first. For large or unfamiliar exports, pull a small sample and confirm the columns and values look right before running the full volume.

  • Reuse configurations. Save reports and document standard API queries so recurring exports stay consistent and repeatable rather than rebuilt each time.

Data Quality and Privacy

Exports frequently contain personally identifiable information, including learner names, email addresses, and IDs. Treat every exported file accordingly.

  • Store and transfer exported files securely, and share them only with authorized recipients.

  • Delete local copies once they are no longer needed.

  • Confirm that completion and grade data is final before exporting certificates or transcripts, since these documents reflect records at the moment of export.

Validation

After exporting, spot check record counts and key fields against what you expect to see in Genius. For scheduled reports or API feeds, validate the first run from end to end before relying on the automation, and confirm the receiving system reads the data correctly.
